A cold email sequence is a series of emails sent automatically over a period of time to these potential leads. The aim is to spark conversations, build relationships, and open the door to future business.
It’s not spam. It’s strategic, personalised, and respectful of people’s time and inboxes.
Why cold emails work (when done right)
Cold emails, when written well and sent properly, can be incredibly effective for:
- Reaching potential clients you wouldn’t otherwise connect with.

- Filling your pipeline with leads short-term – without relying solely on referrals or ads.

What do you actually need to run a campaign?
Here’s the setup (we handle all of this for our clients, by the way):
A good cold email platform
Whenever we start talking about cold email campaigns, we inevitably get asked: “Can I just use Mailchimp for that?”
Short answer? No.
We get this question a lot, especially from businesses that already have a free Mailchimp account. The thing is, Mailchimp (and similar platforms) are designed for email marketing – that is, sending newsletters or promos to people who have already subscribed.
Cold emailing is a different beast. If you use Mailchimp for cold emails, you may get your account suspended – and your emails won’t reach many inboxes anyway. Email software is getting increasingly clever and will often mark these kinds of emails as spam. Your target audience will never see them.

Fake domains to protect your website and email reputation
Here’s something most people don’t realise: If you send cold emails from your main domain (e.g., yourname@yourcompany.com) and people mark those emails as spam, search engines like Google can take notice.

You’d then set up email addresses like:

When you set up brand-new domains and email addresses for cold emailing, they don’t yet have a sending reputation. Email providers like Gmail, Outlook, and Yahoo don’t trust them yet because they’ve never seen those domains sending emails before.
If you suddenly start sending hundreds or thousands of emails per day from a brand-new domain, it raises red flags. Email providers might think you’re spamming people, and your emails are more likely to land in the spam folder (or worse, your domain could get blacklisted).
Warming up means gradually building trust with email providers by:
- Sending a small number of emails each day (starting very low, maybe 10-20/day).
- Increasing the volume slowly over several weeks.
- Ensuring those initial emails get positive engagement (opens, replies, not marked as spam).
Warming up helps your emails land in inboxes, not spam folders. It builds a solid sending reputation with email providers and increases the chance that your target audience will receive your emails. All of this maximises the effectiveness of your campaign.

We absolutely advocate for you to include personalised touches – mentioning the recipient’s company name, role, or a pain point relevant to them. This makes the email feel genuine, not automated.
A simple cold email sequence often has 3-5 emails spaced out over a few weeks, each designed to build trust, overcome objections, and encourage a response.
A “cleaned” list of prospects
And now to one of the most important parts of the process – creating a list of prospects.
After all, even the best-written email won’t work if it’s landing in the wrong inbox. Here’s how to go about building a high-quality prospect list:
1. Define your target audience
Start by clearly defining who you want to target. This might include:
- Industry or sector
- Company size
- Job titles (e.g., decision-makers like Marketing Managers, CEOs, or HR Directors)
- Location
- Any specific criteria relevant to your product or service (e.g., companies using certain technology)
The clearer your target audience, the easier you can build a list that’s highly relevant.
2. Source the data
Once we know who you’re targeting, use trusted B2B data sources, professional databases, and specialist tools to find potential contacts. You can also gather data from LinkedIn, business directories, and other online sources to create a tailored prospect list.
3. Clean and verify the list
This step is crucial. Raw data often contains outdated, duplicate, or incorrect information. Before sending a single email, clean and verify every contact on the list to ensure:
- Email addresses are valid (no bouncing!)
- Contacts are up-to-date and match your ideal customer profile
- Duplicates and irrelevant entries are removed
You can use email verification tools to minimise bounce rates and protect your domain reputation, but at the end of the day, manually scrolling through and checking that you’ve got the right prospects is (unfortunately) the best way to ensure that you’re not sending to some random company in Alaska!
Just as a story to illustrate this point, I was once creating a prospect list for a non-destructive testing company (think power plant safety) and had to delete a load of personal security firm information. Don’t forget to clean your list!
Someone to monitor the campaign
So now you sit back, relax and let the leads roll in?
Unfortunately not.
Once your cold email campaign is up and running, it’s crucial to actively monitor it.
Monitoring ensures that everything is working as it should and keeps your campaign compliant with regulations like GDPR. You’ll need to watch for replies (both positive and negative), promptly remove anyone who asks to unsubscribe and handle any potential issues like spam complaints.
Regular monitoring protects your domain reputation, keeps you legally compliant, and helps maximise your return on investment.
It will take a few weeks (if not a month or two) to complete the campaign. Remember, you’re sending several emails to hundreds (maybe thousands) of people. The software will take time to send them all.
Is cold email worth it?
If you want a cost-effective, scalable way to generate leads and grow your business, yes.
